This is a broad role, with a lot of interaction and collaboration, both with colleagues in similar roles in other BUs as well as with team members in a unit consisting of approx 60 employees.
The person in this role supports managers and team members in various tasks and systems, the person drives and coordinates some initiatives within the unit and work closely with colleagues in other BUs.
There are good opportunities to develop in the role, as well as to develop the role as such. If time and workload allows, this person can develop into a project assistant role.
Description:
General Secretarial Support work is focused on supporting individuals, small teams or departments (vs. the entire office) including: Document editing, proofing, formatting, and production. Data entry and paper/electronic document filing/archiving. Scheduling/coordinating meetings, diaries, and travel arrangements. Receiving/relaying telephone messages from internal and external sources May supervise processes and teams across the following areas: General Secretarial/Office Support. General Secretarial Support. An Experienced Para-Professional (S2) requires basic knowledge of job procedures and tools obtained through work experience and may require vocational or technical education. May require the following proficiency: Works under moderate supervision. Problems are typically of a routine nature, but may at times require interpretation or deviation from standard procedures. Communicates information that requires some explanation or interpretation.

The Assistant in GA Systems, GA Service, and Grid Edge Solutions plays a crucial role in ensuring the smooth operation of various administrative and support functions. This position involves a wide range of responsibilities, from managing formal delegations and access rights to supporting managers and employees with essential systems and processes. The Assistant is also responsible for maintaining infrastructure, handling facility-related tasks, and providing common support across the organization.
- Administers Power of Attorney, formal act of delegation, attestation rights (eSign).
- Supports managers with applying for employee access to required systems (e.g. Savyint for S/4 HANA, VIM, Concur, access to local Teams- and Sharepoint sites).
- Registers, maintains and updates formal access rights to customer sites and industries (SSG Entré and ID06, which are compulsory systems in Sweden).
- Purchases and receives all non project related materials, e.g. workwear, office supplies, external trainings.
- Reviews, allocates costs to cost center and account and certifies invoices for non project related material and services.
- Registers suppliers in databases such as S/4 HANA and Ariba.
- Orders IS/IT-equipment for new employees and externals.
- Administers groups in Outlook and Teams so that all employees and externals are included in the relevant teams.
- Administers access to common and specific folders in the server structure (for common and specific information).
- Maintains Outlook- and Teams-groups, information repositories, and lists with important information (e.g. lists of employees, planned holidays and absenteeism).
- Manages common infrastructure such as:
- access cards for employees, externals, short- and long term visitors.
- parking permits.
- Focal point for site specific projects. tasks and information (e.g. relocation projects, changes in the office area, IS/IT-topics).
- Contact person for facility and IS/IT-related information, improvements, errors.
- Reports facility related errors, complaints, improvements and monitors that these are taken care of by the responsible.
- Receives, establishes and shares common information on information screen, in email and in Teams.
- Common support to managers, employees and externals with regards to common processes, tools, databases (Ariba, Concur, S/4 HANA, VIM).

PLEASE NOTE: From the offered hourly rate, the contractual fee of 4.23% (MSP 2,13% + KeyMan 2,1%) will be deducted.
If we end up in a contract the consultant must undergo a drug test before the assignment can start. The consultant then also must have a certificate for SSG-Entré and sign a NDA.
The assignment is 100% Onsite in Västerås office.
