Övergripande uppdragsbeskrivning

Our customer is embarking on a strategic transition to a new Enterprise Resource Planning (ERP) system (SAP). Our aim is to optimize our business processes, improve cross-departmental information flow, and enhance our data management capabilities. 
 
Early 2024, the Atlas program started the Design of the first release covering the areas of Finance, Tax, Sales, Supply Chain and Procurement direct material and where we now have initiated Build. 
 
In November 2024, the Atlas program started the Design activates of the second release covering the areas of Maintenance and Procurement (indirect material).   
 
This request is for a project management office support role. The program is in an expansive period and needs a proactive and dedicated person to assist with various tasks within the PMO to help ensure a successful implementation. This will involve working in a highly productive and stimulating environment with great exposure to senior leadership and good opportunities to develop. This will involve active ownership of both administrative tasks such as ensuring the onboarding in the program works as well as from time to time taking an active ownership of various tasks within specific areas of the program management. 
The work will be done in close collaboration with the program management and the workstream leads within the Atlas program. 
 
Main location is Solna Office, but the organisation has operations spread out in mainly Sweden, Finland and the US. Some limited travel may be part of the role.

Key Responsibilities:

·       Support Program Manager and Program Coordination Lead to measure and monitor progress on specific activities to ensure Program is delivered on time. Coordination of status updates and reporting.
·       Assist in resolving issues that affect release scope, quality, schedule, budget, and resources. 
·       Maintain program and projects on/off-boarding processes and orientation materials
·       General program management support – assist program management in preparations and facilitation of meetings, taking meeting minutes, assisting with invoicing, issues etc.
·       Assist in enforcing and enhancing the methodology and way of working within the program. Assist in communication of changes or clarification where necessary.
·       Manage ”Atlas Pulses” (internal satisfaction surveys), including creating form, distributing, analyzing data and compiling summary presentations.
·       Facility manager and assist in Atlas office activities and planning, this can include coordinating procurement of office-related inventories such as furniture or decorations. 
        It can also include an active role in planning larger kick-off sessions for new projects or phases in ongoing projects.
·       Superuser & administrator for timereporting (Antura) in Atlas. Manage Atlas Antura project, invite team members, create time reports, follow-up with workstream-leads. Assist in creating projects in Antura for other Projects
 

Skallkrav

Educational Background: – A degree in Business admin logistics, Computer Science, Information Technology, or a related field.
Professional Experience: Proven experience of working in a dynamic and challenging environment such as a major implementation program
Experience using Jira, Excel, Powerpoint and other project management tools.
Languages: English (Primarily)
Swedish(Secondary)

Börkrav

Experience with ERP implementation projects, and an exposure to the organisational challenges associated is a positive
Experience in using Jira is an advantage.
